Membership
Faculty members become natural members of the Information Center after they are given the ID card by the University.

Recommendation for information resources

  • Faculty members may request information resources of any type in any format for the Information Center Collections.
  • Requests are made by filling out the Recommendation for Resources form over the web site.
  • Requests are evaluated with regard to the Collection Map. Those which are not deemed appropriate are notified to the owner of the request.
  • When print and electronic copy of an information resource is both available, the electronic copy is preferred.
  • Requests with incomplete bibliographic data are cancelled and reported to the user.

Instructional Material Production

  • Faculty members may request for production of supporting course materials in order to support the educational programs.
    Requests are made by filling out the Instructional Material Production form.
  • Requests for personal material production are not accepted.
  • Requests related to the production of course materials are not limited to the collections of the Information Center.
  • Any kind of material production and duplication are made in compliance with the Copyright Rules.
  • Production of supporting course materials is done in accordance with a work-plan made with regard to the workload.
    Agilent requests are submitted to the Administration for approval.

Reference & Guidance

  • Faculty members can utilize the orientation programs, and they may request orientation programs with specific subjects.
  • Faculty members can utilize the "Current Awareness about New Publications" service, which provides the announcements of new book type publications.
  • They can utilize the "Selective Dissemination of Information Service" which provides the electronic announcements of the table of contents of periodicals.

Circulation & Borrowing

  • Faculty members may borrow 60 books for 60 days,
    5 general multimedia for 7 days,
    5 bounded serials for 7 days,
    slides as many as requested for 7 days;
    and unless these information resources are requested by others, books can be renewed unlimited times,
    multimedia can be renewed one time and slides can be renewed two times for the same period.
  • They may utilize; "Rare Collection" which consists of rare information resources.
  • Off Campus: Electronic journals and databases are open to in-campus access for 24 hours a day. They can also have access to them from outside the campus by using the User ID and password provided by the University.
  • Return of information resources which are requested to be put in the reserve collection but are already borrowed may be requested even if the borrowing period is not over.
    If it is before the beginning of the semester, it should be returned within 10 days, during the semester should be returned within 3 days.
    For those information resources that are not returned within the requested time, fine processes are applied in compliance with the Overdue Fines Document.
    Borrowing services shall not be available until the fine is paid.

  • Faculty members may request information resources that are not available in the collections of the Information Center from other institutions.
  • Requests are made by filling out the Document Delivery / Interlibrary Loan (ILL) form over the web site.
  • Requests are limited to 5 books at a time.
  • Requests with incomplete bibliographic data are cancelled and reported.
  • If the information resource borrowed from another institution is lost or damaged, rules of the lending institution are applied.
    The user cannot use the borrowing services of the Information Center until the problem is solved.
    Those who do not fulfill their responsibilities despite the warnings are reported to the related dean's office.

Document Supply

  • Faculty members may request documents that are not available in the collections of Information Center.
  • Requests are made by filling out the Document Delivery / Interlibrary Loan (ILL) form over the web site.
  • During each academic year, each faculty member is given a quota of 50 free documents within the country and 15 free documents from outside the country.
    As for requests exceeding the above quantities, processes are maintained in accordance with the Document Supply Fees Document.
  • Requests with incomplete bibliographic data are cancelled and reported.

Proxy Borrower

As SU Faculty Members you may authorize a proxy borrower to check out IC materials on your behalf. Under this arrangement, you agree to be responsible for any materials borrowed on your behalf, including the return of all materials or the payment of replacement charges of items that are lost or damaged. SU faculty members or SU members with a disability must have an IC account in good standing in order to request or renew a proxy borrower. Any overdue recalls, lost books, etc. must be resolved before a proxy relationship can be created or renewed. Expiration date of the proxy borrower card may be renewed as necessary, by completing the form again.

Alerting Service

What is an Alert Service?
An alert service is a type of user account in a database that automatically sends email notifications for new citations or tables of contents. The names (alert, autoalert, favorites) and the procedures for setting up these services vary among vendors, but they generally operate in the same way: 

You specify the search terms or the journal titles and the database automatically provides you with updated results via email.
For some alert services you must register with a password and establish a profile or personal account; for others you simply provide your email address.
Some alert services limit the number of searches you can save. In many databases you can define how often a search is run.

There are different kinds of alert services:

  • Table of Contents Alert (TOC) automatically e-mails you the latest table of contents for your selected journals.
  • Saved Search permits you to re-run a successful search at a later date to collect relevant results added since the last time you ran the search.
  • Search Alert (SDI) is a saved search that runs automatically whenever the database is updated and automatically e-mails you the results.
  • Citation Alert With a citation alert you receive an e-mail alert each time an article on your list is cited in a new article.
  • Personalized Services are creatively customized database services which allow users to organize and manage databases for their personal interests and needs. Under the scope of these services, there is the user’s profile or personal account, including search history and user preferences and the information collected through the search behavior. Through the use of these services, the users are able to set-up, review and edit their alerts & saved searches, marked lists, free trials, newsletters, subscriptions and any research items they have submitted. The personalized services give users the chance to have privacy during their searches. They are helpful for the users to improve their experience of using databases.

Why use an Alert Service?
An alert service will provide you with a list of the articles newly added to a database on a subject that the researcher has requested. This will save time running the same search on a regular basis in a particular database when you want to keep current on a particular research topic.

Many alert services will send the table of contents of the latest issue of journals that you regularly review. Again, this saves time checking for the table of contents manually.

How to set up Alerting Services?
Alert services vary between different databases and publishers, and they often have different names. This can sometimes make it difficult to find the alert services you want.

There are a few ways to find alert services on a database or publisher site:

  • Look on the home page for options such as "alerts" or "email updates".
  • Look for options such as "Register", "Create Profile", or "My Account", and read about what kind of alerts are offered if you sign up.
  • Look for an option to set up an alert when you're on a search results page, or when browsing journal issues and subject categories.
  • Some databases, don't link to alert services from the home page. However, the services are offered once you search or browse.

You'll need to register with each site in order to set up your alerts. Registration and services are normally free to library clients, as they are included in the subscription the library has purchased.

The best place to start is with the database you use most, or look for alert services next time you're searching or browsing journals online. Be sure to go back and fine-tune your alerts from time to time, so that they stay relevant and useful.

Attention: Due to the licensing agreements with database providers, alumni that has membership registration to the IC do not have access to the electronic resources from outside the campus network. Our alumni can make their research via Project Muse and SAGE databases that allows open access and has in our list.

  • Those who also want to utilize the borrowing facilities, pay yearly membership fee in compliance with the Information Center Membership Fees Document, and acquire "the right to use services and borrowing facilities".
  • Users whose yearly membership periods come to an end, can request for renewal of their membership periods.
  • The permission given to Alumni related to utilizing the services is cancelled if they do not obey the general rules of the Information Center. Their later applications for membership are not accepted for a period of 3 years.

IC Use Only: They may utilize the following collections within the Information Center only;  "Reference Collection" which is organized for reference purposes,"Serials Collection" which is a collection of current and back issues of journals.

Rare Books: They may utilize; "Rare Collection" which consists of rare information resources.

Online Resources: Electronic journals and databases are open to in-campus access for 24 hours a day. They can also have access to them from outside the campus by using the User ID and password provided by the University.

Renewing: Processes related to the renewal of borrowed items and reserving information resources can be done over the web site.

Multimedia Recall: Borrowed multimedia items can be recalled before due date, if any other user requires for a short period of time, for adding to the reserve, for uses of the academic personnel on special occasions, and for mass shows that are arranged by the student clubs. 

Recall: Return of information resources which are requested to be put in the reserve collection but are already borrowed may be requested even if the borrowing period is not over. If it is before the beginning of the semester, it should be returned within 10 days, during the semester should be returned within 3 days. For those information resources that are not returned within the requested time, fine processes are applied in compliance with the Overdue Fines Document. Borrowing services shall not be available until the fine is paid.

Lost or Damaged Resources: For information resources that are lost or damaged, fine processes are applied in accordance with the "Document for Lost and Damaged Information Resources", and borrowing services shall not be available until these processes are completed. Upon request, the possession of the damaged item may be given to the user. Administration is informed of information resources that are claimed to be returned but not found in their places. The user cannot utilize the borrowing services until the final decision of Administration.

Interlibrary Loan (ILL)

Document Supply

  • Exchange students may request documents that are not available in the collections of Information Center. Requests are made by filling out the Document Delivery / Interlibrary Loan (ILL) form over the web site.
  • Processes are maintained in accordance with Document Supply Fees Document. Documents are delivered after the document fees are paid.
  • Requests with incomplete bibliographic data are cancelled and reported. When the document arrives, request owner is notified. For documents not taken by the request owner within a week, a second notice is sent, and reported to the administration.

Multimedia / Group Study Rooms and Equipments

  • The Multimedia and Group Study Rooms and the Carrels can be used by reserving via the Room Reservation Function on IC's web site. It is necessary to comply with the reservation time to use these rooms and carrels. In case of being late more than 15 minutes for the reservation time, it will be cancelled automatically.
  • The keys of the Multimedia and Group Study Rooms, the earphones belonged to the carrels, the video and DVD players and also the TV remote control devices are borrowed within their bag. The fines to the equipment in the status of overdue shall be implemented in accordance with the Overdue Fines Document. Moreover, the users cannot use the borrowing services until that they will fulfill the payment of the fines related to the relevant material(s).
  • For keys and equipment that are lost or damaged, fine processes are applied in accordance with the Document for Lost and Damaged Information Resources, and borrowing services shall not be available until these processes are completed. Upon request, the possession of the damaged item may be given to the user. Borrowing services shall not be available until the fine is paid.
  • Only faculty members can use the projection rooms to instruction. 
  • Group study and multimedia rooms can be booked for minimum 3 students only.
